Why VAT invoices matter
VAT vendors use tax invoices to support output VAT charged and input VAT claimed. During verification or audit, SARS may ask for the invoice trail behind a VAT201 return.
What to check on a tax invoice
- Supplier details and VAT registration number where required.
- Customer details where required by the invoice rules.
- Invoice number and date.
- Description of goods or services.
- Consideration charged and VAT amount or VAT-inclusive statement.
- Clear indication where supplies are standard-rated, zero-rated, or otherwise treated differently.
Simplified invoices
Some lower-value transactions may have simplified invoice rules. Even then, the document must be good enough to support the VAT treatment and connect to the business expense.
Recordkeeping system
Keep sales invoices, supplier invoices, credit notes, debit notes, bank proof, import/export documents, and VAT reconciliations together by VAT period. A consistent file structure makes SARS requests easier to answer.
